  • Your final price is based on actual weight after your items are picked up and professionally packed. You only pay for what you actually ship.

Step 1: Enter Your Pick-Up Location and Access Type

The first section is labeled From. Type the city or zip code where your items are now. The field autocompletes, so start typing and pick the match from the list.

Next to it is an Access Type dropdown with four choices:

  • Ground Floor: the movers can carry everything out without stairs or an elevator.
  • Stairs: at least one flight of stairs between your items and the truck.
  • Elevator: the crew needs to use a building elevator.
  • Unsure: pick this if you genuinely do not know, and the review team will confirm with you.

Be honest here. Access affects the estimate because it changes the labor involved. Each flight of stairs (roughly 7 to 10 steps) adds $100 to the job, and elevator access adds a flat $100. Choosing “Ground Floor” for a third-floor walk-up will not lower your final bill, it will just make the estimate wrong.

Step 2: Enter the Delivery Location and Access Type

The To section works the same way. Enter the destination city or zip code, then choose the access type at the delivery address.

If you do not know the exact delivery address yet, the city or zip is enough for pricing. The distance and the shipping lane between the two points are what the calculator needs. You can confirm the street address later when the warehouse manager schedules your delivery.

Step 3: Tell Us Who Should Receive the Estimate

The Tell Us About You section asks for:

  • First and last name
  • Email address
  • Phone number
  • How you heard about Ship Smart (Google, a realtor, a friend, and so on)

There is also a checkbox to receive text messages about your shipment. Leaving it checked means the team can send pickup and delivery updates by text, which is the fastest way to reach most people on moving day.

Your estimate is delivered to the email you enter, and a Ship Smart rep uses the phone number if anything in your inventory needs clarification.

Step 4: Build Your Inventory

This is the section that matters most. Under Build Your Estimate, there is a search box labeled Search for items. Start typing the name of a piece and the calculator suggests matching items from its catalog.

The catalog is specific on purpose. Type “sofa” and you will see options such as:

  • Sofa / Couch
  • Large Sofa / Couch
  • Sleeper Sofa
  • Sofa / Couch Large Section, Small Section, and Chaise Section
  • Chaise Lounge
  • Recliner Chair
  • Sofa Table, Glass Top Sofa Table, Marble Top Sofa Table

Pick the closest match, then set the Quantity. Each item appears in a table with its name, quantity, and a remove action, so you can adjust as you go. The calculator will not run until at least one item is in the inventory.

A few tips for this step:

  • Search by piece, not by room. Enter “dresser,” “nightstand,” and “queen bed frame” rather than “bedroom set.” Each piece has its own weight and packing profile.
  • Count your boxes. Boxes are items too. If you have not packed yet, estimate how many medium boxes your things will fill and add them.
  • Choose the right size variant. A sleeper sofa weighs far more than a loveseat. The closer your selection is to reality, the closer the estimate will be to your final price.
  • Do not forget the odd items. Mirrors, framed art, lamps, rugs, a TV, a bike. They all take space on the truck and packing time in the warehouse.
  • Include everything you are considering. It is easier to remove an item later than to add one on pickup day.

What Happens After You Submit

Submitting the estimate does not book anything and does not charge you. Here is the sequence from there:

  1. Expert review within 12 to 24 hours. A Ship Smart specialist checks your inventory and route for anything the calculator could not see, such as an oversized piece that needs crating or a destination that requires a shuttle truck.
  2. Paperwork. If you decide to move forward, you request the booking paperwork, complete it electronically or on paper, and send it back.
  3. Pickup scheduling. The warehouse manager for your area calls within a couple of business days to set a pickup appointment. Pickups run in 2 to 4 hour windows, Monday through Friday, with Saturday available in some markets for an extra fee.
  4. Pickup and packing. Movers collect your items and you sign an inventory sheet. Everything goes to a Ship Smart warehouse where it is custom packed or crated by certified staff.
  5. Weighing and final price. Your packed shipment is weighed, and your final price is set from that actual weight.

  • Walk through each room with your phone. Photograph every piece you are shipping and enter items straight from the photos.
  • Measure anything unusual. A 9-foot sectional, a glass dining table, or a piano should be flagged so the review team can price crating correctly.
  • Declare high-value items. Optional replacement coverage is available for shipments with a declared value above $1,000, with rates from $20 to $30 per $1,000 of value depending on the deductible you choose. Adding it later is harder than adding it now.
  • Be precise about stairs. Two flights is two flights, not “stairs.”
